Manage connection access

Every tool connection has an access scope that controls who in the workspace may use it. The scope applies to the entire connection, not individual tools within it.

Access scopes

Every connection has one of two scopes:

  • Workspace: everyone in the Dash workspace can use this connection. Most tools follow the workspace’s default sharing policy.
  • Private: only the person who connected it, plus anyone they explicitly add, can use it.

Email connections start private

New Gmail and Outlook connections always start Private, regardless of the workspace’s general “new tools are private by default” setting. A mailbox carries one person’s inbox, contacts, and sending identity, so Dash does not share it with the workspace automatically.

This policy does not retroactively change an existing email connection’s access scope. The connector or a workspace admin can still switch any mailbox between Private and Workspace later.

Change the access scope

  1. Go to app.dashpup.ai and open the Tools page.
  2. Click the connection you want to change.
  3. Under Access, switch between Workspace and Private.

Switching from workspace to private immediately restricts access. Only you (the connector) can use it until you add others.

Add people to a private connection

When a connection is set to Private, you can add specific teammates:

  1. On the connection’s detail page, find the Allowed people section.
  2. Click Add and search for the person by name.
  3. They can now use the connection as if it were workspace-wide, for them only.

Removing someone from the allowlist revokes their access immediately.

Who can manage access

  • The person who connected the tool can always manage its access scope and allowlist.
  • Workspace admins can manage any connection, regardless of who connected it.
  • Regular members can only manage connections they created.

How access interacts with run modes

Access scope (who can use a connection) and run modes (what each tool can do) are two separate controls:

  • A private connection with a tool set to Auto means only the allowed people can use it, and it runs without asking when they do.
  • A workspace connection with a tool set to Off means everyone can see the connection, but that specific tool is blocked for everyone.
